Project Admin

Assignment Description

-The Project Admin is a member of one or several project management teams responsible for keeping the project organized and running smoothly.

-Works alongside the project manager to track and dispense all of the information the various team members need to do their jobs effectively.

-Responsibilities include working closely with the project manager to coordinate action plans, including resources, timeframes and budgets for projects.

-Perform various coordinating tasks, like schedule and risk management, along with administrative duties, like maintaining project documentation and handling other queries.

-Gathers and dispense the needed information and updates and coordinate the work throughout the project lifecycle.

-Responsible for setting up and maintaining the project administrative structure including:

•Creating project documents related to PM (e.g. presentations, summary, MoMs)

•Document management system

•Communication structure for the project

•Archiving and filing

•Resource documentation


•Managing the project meeting calendar including pre-documentation, execution, action log and follow up on identified actions.

•Follow up on task lists for team members.

•Prepare and provide documentation to internal teams and key stakeholders.

•Communicate with team members to ensure optimal strategy and maximum efficiency by publishing approved documents in identified media to targeted audience.

•Coordinate project management activities

•Act as the point of contact and communicate project status to all participants.

•Work with the Project Manager to eliminate blockers.

•Act as the point of contact for project team.

Qualifications Required

•Excellent communication skills.

•Excellent skills in Microsoft Office programs.

•Min 5 years of relevant experience from administrative work, both general administration as well as detailed knowledge about project administration.

•Ability to meet deadlines and work under pressure.

•Service minded and positive.

•Ability to prioritize, drive and work independently.

•Have a structured way of working and an eye for details.

•Proven work experience as a Project Coordinator, Project Administrator or similar role.

•Solid organizational skills, including multitasking and time-management.
