Administrative and Accounts Officer

Duties and Responsibilities:

  • Greet clients and visitors warmly, ensuring a welcoming office environment.

  • Answer phone calls, take messages, and direct inquiries to the appropriate department.

  • Provide virtual and in person training support as needed.

  • Assist with general office administration, including filing, generating reports, and setting up meetings.

  • Follow up with prospective clients for various programs offered by the company.

  • Assist in conducting quarterly  telephone audits.

  • Assist with preparation and logistics for seminars and training sessions.

  • Ensure timely and accurate updates to the company CRM to maintain reliable records.

  • Accurately record financial transactions, including but not limited to invoices, expenses, and receipts into the accounting software (QuickBooks). 

  • Assist with the preparation of customer invoices, monitor accounts receivable, including calling, and follow up on outstanding balances.

  • Preparation of receipts for customers.

  • Follow up calls with Who’s Who Clients for confirmations, artwork, etc.

  • Follow up calls for International Business Conference sales.

  • Prepare and submit daily progress reports.

Requirements:

  • Completion of Level 1 CAT or higher.

  • Knowledge in accounting with at least 1-2 years of similar experience.

  • Experience in QuickBooks accounting would be an asset.

  • Attentive to detail.

  • Excellent verbal and written communication.
